Every agency has The Spreadsheet. The massive, color-coded Google Sheet that tries to track every client account, every contract renewal date, every key contact, and every project status. Ours had 47 columns and nobody trusted the data. So we asked Alpha Agent to build something better.

The Spreadsheet Problem

Our account management spreadsheet had grown organically over three years. Different people used different conventions. Some cells had formulas, others had hardcoded values. Contract dates were in at least four different formats. The "last updated" column was almost never updated.

The real cost wasn't the messy data — it was the decisions we couldn't make. We couldn't quickly answer: Which accounts are up for renewal this quarter? Which clients haven't had a check-in in 30 days? Where are we over-servicing relative to contract value?

What Alpha Agent Built

We gave Alpha Agent a description of our account management needs and a CSV export of the existing spreadsheet. The AI agent built a clean web application with structured data entry, automatic validation, and views designed around the questions we actually needed to answer.

The app features a main accounts table with sorting, filtering, and search. Each account has a detail page showing contract info, key contacts, project history, health score, and a timeline of interactions. The health score is calculated automatically based on recent activity, NPS signals, and contract utilization.

  • Activity logging — quick-entry forms for calls, emails, and meetings that feed the health algorithm

Migration Was Painless

Alpha Agent even handled the data migration. We uploaded the messy CSV and the AI parsed the inconsistent date formats, deduplicated contacts, and normalized the data into clean records. What would have been a day of manual cleanup took about 90 seconds.

Impact

Within the first two weeks, we identified three accounts that were at risk based on the health scoring — accounts that looked fine in the spreadsheet because someone had optimistically colored them green months ago. We intervened early and saved two of the three relationships.

The renewal calendar alone paid for the effort. We went from scrambling on renewals to starting conversations 60 days out with prepared talking points. Our renewal rate improved from 78% to 91% in the first quarter.
